Anyone who prefers to ask gets a quote from you. The company enters its name and VAT ID right at booking. Both then appear on its invoice as well.

Your quote keeps the date free
Nordlicht Software sends a request through your contact form. Usually it only says the team size and a preferred month, say 24 people in mid-October. From that you build a quote for the raft building on 16 October. You add the barbecue buffet and the shuttle from the office as separate line items. If you like, the date stays reserved as long as the quote is valid. Once the company says yes, one click turns it into a booking.

One fixed price for the whole team
For the raft building you set price tiers by team size. Up to 15 people the event costs 890 euros, up to 30 people 1,490 euros. If a company comes with 24 people, it sees its price as soon as it books. It adds the barbecue buffet and the drinks package per person. You ask for the team name with a booking question of your own. That way you know before the event how many colleagues eat vegetarian.

When Hansewerft AG calls, you create the booking yourself in the dashboard. You use the same booking widget your customers use online. You enter the company details and the booking language right away. An e-mail with a payment link then goes straight to the company. The company then pays on your payment page in your design.
Deposit now, the balance before the event
For large team events you offer a deposit. At booking the company chooses whether to pay everything or only a part first. At 30 percent that is 447 euros up front for the raft building on 6 November. It pays the remaining 1,043 euros by link before your deadline, here two weeks ahead. Three days before that deadline a reminder goes out automatically.

Invoice with company details right after payment
At booking Elbe Logistik GmbH enters its company name and VAT ID. The VAT ID is checked automatically right there. With invoicing switched on, the company gets its invoice right after the online payment. All company details are on it, as a ZUGFeRD e-invoice if you like. If four colleagues join later, you raise the headcount to 18. For the 600 euros still due you send a payment link.
