Data export: formats and procedures

This page describes which data operators can export from Activento, in which formats, and how switching to another provider works. It is the overview referenced in the Terms of Service (§ 19) within the meaning of Regulation (EU) 2023/2854 (Data Act, Chapter VI: switching between data processing services).

Last updated: 27 October 2026, updated whenever export capabilities change.

1. Principles

All exports described here are available to the operator at any time during the contract term as self-service functions in the dashboard. Activento does not charge any separate fees for exports or for switching providers (no switching charges).

Exports are provided in structured, commonly used and machine-readable formats. Personal data contained in exports remains the data-protection responsibility of the operator as controller.

2. Exportable data categories and formats

The following categories can be retrieved via the respective export and download functions in the dashboard:

  • Orders and bookingsFormats: CSV, XLSX

Complete export of all order and booking data via the Import & export area in the dashboard, with configurable field selection through export templates and date-range filters.

  • Customer dataFormats: CSV, XLSX

  • Partner and supplier settlementsFormats: CSV, PDF

Settlements with sales partners and service suppliers as CSV and PDF via the respective area.

  • Tax reportsFormats: CSV

EC sales list (EU turnover) via the accounting reports.

3. Procedure and support

Exports are triggered in the dashboard without any involvement of Activento. Most files are available for download at once; monthly accounting packages are built in the background and appear in the dashboard for download after a few minutes. For larger datasets, exports can be retrieved across multiple date ranges.

If the operator needs machine-readable formats beyond the exports and the full archive described in section 4 for a provider switch (e.g. a consolidated JSON full export) or support with the transfer, a request via the contact channels stated in the imprint is sufficient. Activento supports switching within the scope of its statutory obligations under Regulation (EU) 2023/2854.

4. Data retrieval after the end of the contract

After the contract ends, account access remains available in read-only mode for 30 calendar days. During this period, all export functions described above remain available. At the operator's request, Activento extends this period once by a further 30 calendar days.

In addition, during this period the owner can build a complete archive under “Download all your data” in the Import & export area. It is a multi-part ZIP containing every invoice, cancellation invoice, receipt, partner settlement and ticket as PDF, the DSFinV-K packages, orders, bookings and customers as CSV, and the staff records (wage rates, working time, shifts, absences, payroll runs). The archive is built in the background, announced by e-mail and stays available for 14 days.

After the retrieval period expires, the operator's data is deleted or anonymised. Records subject to statutory retention obligations (in particular invoices and booking records) are kept in restricted storage for the statutory periods and deleted afterwards. Deletion is confirmed on request.

Details are governed by the Terms of Service (§ 18 Term, Termination and End of Contract and § 19 Switching Providers and Data Portability). The German version governs.
